Once the general design has been approved, the analyst/designer can add the next level of detail by developing the detailed external design. The external design is the design of the system as it appears to the users and includes the layout of each screen to be used by the on-line transactions, the layout of the reports created by batch programs, documentation detailing all user procedures, etc. The user documentation must describe not only how the user interacts with the system normally, but also the steps to be taken when a problem occurs. Individual users need to know what to do in case of a transaction or system failure. The operations department or designated user representative must be told how to handle larger problems such as the accidental destruction of a file.
